Junior Administrator

Due to company growth, Innes Reid Investments Limited is looking for an entry level Junior Administrator/Office Assistant to join our friendly team in Hoole, Chester. Established in 1999, we have grown to become one of the North West’s leading Independent Financial Advisers and have been awarded Corporate Chartered status.

Reporting to the Office Manager, the Junior Administrator/Office Assistant will support the team with general administration duties, customer service and ensuring that the office runs smoothly on a day-to-day basis. This is an entry level position for which full training will be provided.

Duties include, but are not limited to:

• Opening, recording and distributing incoming post as well as weighing, franking and posting outgoing mail.
• Meeting and greeting visitors as well as answering incoming telephone calls and taking messages where appropriate.
• Filing and keeping the front office and meeting rooms organised and tidy.
• Arranging appointments for Advisers and Directors.
• Monitoring and ordering stationery as required.
• Uploading client data to the back office system.
• Dealing with policy enquiries.
• Checking, recording and issuing contract notes and policy documents.
• Processing fund switches, surrenders and withdrawals.
• Ad hoc duties as and when required by the department.

Person Specification

The ideal candidate is likely to be a recent school/college leaver with a genuine interest in a career in Financial Services. Similarly, you may also be someone looking to start a new career. Aside from enthusiasm and ambition, there are no formal qualifications or experience required but the following characteristics are highly desirable;

• A high level of written English and Mathematics (E.g. GCSE A*- C)
• Good interpersonal skills and the confidence to talk to clients and third party companies over the phone and to greet clients at the door
• IT Literate – competence using Microsoft Word, Excel and Powerpoint
• Excellent time management and organisation skills (this is a fast paced environment)
• Good attention to detail in dealing with client documents and the inputting of data
• Willingness to lend a hand and to take on ad hoc tasks as and when required
• Working hours are 9am – 5.30pm, Monday to Friday

Salary is competitive and open to negotiation. As this is an entry level position we will be looking at any transferable skills the candidate can demonstrate from education/previous roles during negotiations.
